Reporting

Learn how to create, manage, and share reports directly from the Lot Vault Reporting tab.

You can now generate, save, and download reports for your team—without leaving the app.


What you can do

  • Create reports from four report types (selectable from a dropdown).

  • Add a description for yourself and your team.

  • Choose a date range and save the report.

  • Download and share the generated file with your team.

  • View reports in Lot Vault or download externally as Excel or CSV files.

👉 Note: Only the creator of a report can delete it.


How to create a report

Open the Reporting tab

From the main Lot Vault navigation, click Reports.

Start a new report

Click the + Generate Report button in the top-right corner.

Choose your settings

  • Report type: Select one of the four options from the dropdown: Historical Takedowns, Upcoming Takedowns, Extension Requests, or Project Status.

  • Description: Add a short note so your team understands the report’s purpose.

  • Date range: Pick the dates you want included.

Save

Click Save. Your report will begin generating.

Download & share

Once complete, your report will appear in the list. Click Download to save it.

  • Reports can be viewed directly in Lot Vault.

  • They can also be downloaded externally as Excel or CSV files for further use.


Managing reports

  • Viewing: All users with access to Lot Vault can view reports (permissions apply).

  • Deleting: Only the original creator can delete a report.

  • Refreshing/Regenerating: To change the timeframe or type, create a new report with updated settings.


Tips & best practices

  • Use clear descriptions (e.g., “Q3 Sales — Lots Closed 7/1–9/30”) so teammates can find files quickly.

  • Double-check your date ranges before saving for the most accurate results.

  • Keep versions instead of overwriting—great for audit trails.


Troubleshooting

  • Report stuck on “Generating”: Refresh the page. If it persists, try a shorter date range or generate a new report.

  • Can’t delete a report: Confirm you’re the creator. Only the creator can delete.

  • Wrong report type selected: Just create a new report with the correct type and description.
